Job Title: Administrative Assistant III (W-2 Contract)

Duration: 6 Months

Pay Rate: $41.38


Overview

We are seeking a highly organized and proactive Administrative Assistant III to provide comprehensive administrative support to senior leaders and teams. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities

  • Manage complex executive calendars, prioritizing meetings and scheduling changes with sound judgment and efficiency
  • Coordinate meetings with internal and external stakeholders, including:
    • Scheduling conference rooms and equipment
    • Arranging visitor access
    • Greeting and escorting guests and candidates
  • Handle end-to-end travel arrangements, including:
    • Multi-destination itineraries
    • Visa/passport coordination
    • Travel security considerations
    • Detailed itinerary preparation and travel support
  • Prepare and manage expense reports using Concur (multi-currency experience preferred)
  • Produce and edit correspondence, reports, and presentations with a high level of accuracy
  • Compile, track, and analyze data to generate reports using charts, graphs, and tables
  • Support compliance and departmental reporting requirements
  • Organize team meetings, events, and provide backup support to other administrative staff
  • Identify opportunities for improving administrative workflows and processes
  • Participate in projects and team initiatives as needed

Required Skills & Qualifications

  • Strong experience supporting senior executives in an administrative capacity
  • Advanced calendar management and scheduling expertise
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with Concur or similar expense management tools
  • Exceptional organizational skills with strong attention to detail
  • Ability to handle confidential information with discretion
  • Strong written and verbal communication skills
  • Ability to work independently and collaborate effectively with teams
